This Privacy Policy describes how Hermitage Technologies, LLC, a California limited liability company (“Hermitage,” “we,” “us”), collects, uses, and shares information in connection with the Hermitage software platform (the “Service”).

1. Information we collect

  • Account information — your name, email address, firm, professional role, and authentication records.
  • Client matter data — the information you enter about your clients and their matters (people, assets, income, estate plans, scenarios, and related notes).
  • Usage data — log, device, and activity data generated as you use the Service, used to operate, secure, and improve it.

2. How we use information

We use information to provide and maintain the Service, authenticate users, generate the planning estimates you request, secure the platform, communicate with you, and comply with legal obligations.

3. Service providers

We rely on a small set of trusted third-party providers to operate the Service. They process information only as needed to provide their services to us:

  • Vercel — application hosting.
  • Railway — API and database hosting.
  • Stripe — subscription billing and payments.
  • Resend — transactional and sign-in email delivery.
  • Anthropic — AI features (e.g. business valuation assistance, and attorney-initiated extraction of an uploaded document's structure to pre-fill the estate-visual builder). Used via Anthropic's commercial API, which does not train on submitted data.

4. No sale of data

We do not sell your personal information or your client matter data, and we do not share it for cross-context behavioral advertising.

5. Data retention

We retain your account and matter data for as long as your subscription is active. Following cancellation, we retain your data for thirty (30) days to allow for reactivation and export, after which it is deleted from our active systems, except where longer retention is required by law.

6. Your California privacy rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) grants you the right to know what personal information we hold about you, to request access to or deletion of that information, to correct inaccuracies, and to not be discriminated against for exercising these rights. 7. Security

We use administrative, technical, and organizational measures designed to protect your information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

8. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the Service.
